Stansfield Systems ("we", "us", "our") provides websites, AI agents, automation, and email marketing services to owner-run service businesses, based in Kelowna, BC, Canada. This policy explains what information we collect, how we use it, and the choices you have.
Information We Collect
- Contact details: your name, business name, email address, and phone number when you send us a message through the form on this website, book a call, request an audit, or become a client.
- Business information: details about how your business runs, including your enquiry handling, admin workload, and client communication practices, collected as part of an audit or system build.
- Client data processed on your behalf: when we operate systems for your business, we process contact, enquiry, appointment, and billing data belonging to your clients strictly on your instructions and for no other purpose.
- Payment information: payments are processed by third-party providers. We do not store card numbers.
- Website analytics: we use Google Analytics to see how many people visit this site, which pages they read, and where they came from. See Analytics and Cookies below.
How We Use Your Information
We use your information to deliver our services, including scheduling calls, conducting audits, building and operating automation systems, responding to support requests, and sending occasional service updates or offers where you have consented to receive them.
Text Messaging (SMS)
By providing your phone number, you consent to receive text messages from us related to our services, including appointment confirmations, reminders, schedule changes, and follow-ups. Message frequency varies. Message and data rates may apply depending on your carrier. You can opt out at any time by replying STOP to any message, or reply HELP for assistance.
Your mobile number and SMS consent are never sold or shared with third parties or affiliates for their marketing purposes.
SMS consent is not a condition of purchasing any of our services.
Sharing of Information
We do not sell personal information. We share information only with service providers who help us operate, such as scheduling, messaging, and payment platforms, and only as necessary to deliver our services.
Analytics & Cookies
This website uses Google Analytics to measure traffic. It sets cookies in your browser and records your approximate location, device and browser type, the pages you view, and the website or advertisement that referred you. We use this to understand what is working and to measure our advertising. We do not use it to identify you personally, and we do not sell this information.
You can opt out at any time by installing Google's browser opt-out add-on, by using your browser's cookie controls, or by browsing in private mode. Nothing on this site requires analytics cookies in order to work.
Use of AI
Some of the systems we build use AI models to draft messages, summarize notes, and sort incoming enquiries. Where a system does this, business and client information is sent to the AI provider only to produce that output, and only for your business. We use providers whose terms state that customer data submitted through their business APIs is not used to train their models. We will tell you which parts of your system use AI, and you decide what runs automatically and what comes to you for approval first.
CASL Compliance
We send commercial electronic messages only with express or implied consent, in accordance with Canada's Anti-Spam Legislation (CASL). Every commercial message we send identifies us and includes a working unsubscribe mechanism. Systems we build for clients are designed to the same standard.
Data Storage & Security
We maintain reasonable administrative and technical safeguards to protect the information we hold. We retain information only as long as necessary to deliver our services or as required by law.
